Project Administrative Assistant
Job Description
Project Description:
The
project is a multi-year collaborative effort between the
Education and Research Consortium of the Western Carolinas,
the Library of Congress and AAM partnering institutions
to bring Library of Congress online primary resources
into communities and provide innovative professional development
for pre-service and in-service teachers, as well as college
and university faculty throughout the region.
Education and Experience:
The AAM project relies on professional
administrative support of the faculty, staff and other
members of the AAM team. An organized and efficient assistant
is an asset not only to the AAM partner, but to the entire
project. It is important for the AAM Project Administrative
Assistant to possess the following education and experience:
A High School diploma is required, a two year office assistant/office
management/business management or related degree is preferred.
A minimum of three years office assistance experience is
required, preferably at an educational institution. Any
combination of the required experience and preferred education
may be substituted.
The AAM Project Administrative Assistant should be able
to perform the following duties as related to instructional
technology and the goals of the project:
Essential Functions:
Administrative
- Communicate professionally
and courteously with the public, university staff and
faculty regarding arrangements for travel, lodging, facilities,
food service, and acquisition of supplies and materials
- Maintain
or assist in maintaining AAM budgets
- Interpret a variety
of instructions furnished in written, oral, diagram,
or schedule form
- Calculate figures and amounts such as
discounts, interest, commissions, proportions, and percentages
- Effectively
present information and respond to questions from groups
of managers, clients, customers, and the
general public
- Demonstrate accuracy and thoroughness
- Write clearly
and informatively. Edit work for spelling and grammar
errors
- Work well in group problem solving situations
- Make
copies of correspondence or other printed materials
- Prepare
outgoing mail and correspondence, including e-mail and
faxes
- Order and maintain supplies, and arrange for equipment
maintenance
- Coordinate and arrange meetings, prepare
agendas, reserve and prepare facilities, and record and
transcribe
minutes of meetings
- Organize and maintain file system, and files correspondence
and other records
- Schedule or assist in scheduling
local AAM summer institute – arrange
instructors, schedule cohort teachers and other participants,
prepare contracts, provide on-site assistance.
Technical
- Proficient use of a personal
computer, peripherals and applicable software packages
required for word processing, spreadsheets, databases,
presentations, e-mail and Internet research
- Change printer, copier, and facsimile cartridges and drums. Load paper
and manage maintenance issues
Supervisory
- May supervise student assistants
and verify that accurate and comprehensive time and effort
reports are maintained for all student assistants
Instructive
- May be required to provide
instruction and assistance in program workshops
Reporting
- Write or assist the director
in writing reports and business correspondence
- Conduct
or assist the director with conducting research, compile
and type statistical reports
- Prepare or assist
the director with preparation and submission of ASAP
reimbursement request
Publishing
- AAM newsletter (if applicable)
